Introduction

INL has opened an Estate, Service and Conference Officer position to provide organizational and operational support in the development and execution of events and associated services in the organization of conferences.

Job Role & Key Responsibilities

As an Estate, Service and Conference Officer you will take on a key role within the following responsibilities:

  • Develop concepts for the event;
  • Create plans and documentation for the events;
  • Manage event budgets;
  • Search, contact and organize suppliers, employees and volunteers;
  • Book locations and event equipment;
  • Monitor the progress of the event and report to the Conference Office Manager;
  • Manage all logistic and secretariat event related issues;
  • Assist conference guests with check-in and check-out procedures;
  • If necessary, organize fundraising, sponsorships and sale / distribution of invitations / tickets for the event.
  • Support the management of common spaces and building access services;
  • Provide and maintain the infrastructure in the domains of supply chain and site services for the Organization;
  • Manage the contract established with the service suppliers, review and approve the operating procedure, monitor the execution of pre-approved planning and control the quality of service;
  • Manage the Nursery service by defining, disseminating and ensuring compliance with the set of procedures to be applied;
  • Manage the Guest house, from the purchase of consumables to the management of the booking and hosting of visitors, staff members and participants in events at INL.

 

Job Requirements

Applicants should meet the following requirements:

  • University degree in a relevant field;
  • Training in event management;
  • At least 5 years of experience in a similar position;
  • Hold strong communication and administrative skills;
  • Experience in managing finances and budgets;
  • Knowledge of software for image treatment;
  • Knowledge in assisting management of large projects;
  • Knowledge of entertainment/hospitality requirements and protocol rules.

  • Strong creative, strategic, analytical, organizational and personal skills and clearly demonstrated communication skills (written and oral);
  • “Hands-on” approach together with a high commitment in respecting working deadlines;
  • Ability to work independently, multi task/manage multiple projects simultaneously and achieve results on deadlines;
  • Positive attitude, resourceful nature and excellent problem solving capabilities;
  • Excellent time management skills;
  • Decision-making capability;
  • Ability to manage and resolve unforeseen situations;
  • Good negotiating and public relations skills;
  • Ability to deal with the event's own stress;
  • Ability to establish and maintain cooperative working relationships with a diverse multi-cultural environment.
  • High level of personal discipline and integrity.

 

Languages

  • English is the working language of INL. Upper advance level in oral and written English is required. Working knowledge of another language is an advantage.
